A first follow-up goes out after the delay you choose. A reply, order, refusal or opt-out cancels later steps. With no clear signal, the owner reviews the case before any final follow-up.

Stop rules are the core of the system
The mailbox, CRM, quoting tool and order system may each hold a signal. Decide which source wins, handle replies from another address and stop stale statuses from contacting clients who already converted.
HubSpot documents automatic sequence unenrolment after replies and certain meetings. The principle applies beyond one product: no future step is sent until stop events have been checked.
The owner reviews what rules cannot understand
No reply is not always a refusal. An active negotiation, an out-of-office message or a revised quote should reach the owner. Automation proposes the next step; the owner decides ambiguous cases.
Human-in-the-loop controls can approve or deny a specific action and its arguments. They do not make the whole workflow safe by themselves: access rights, logs and stop rules are still required.
- Queue of pending follow-ups with reason and date
- Recipient, quote and message preview before sensitive sends
- Cancel, postpone or reassign controls
- Log of the event that started or stopped the sequence
A sales follow-up is not unlimited permission
Keep the sequence short, identify the sender clearly, offer a simple way to stop messages and preserve the opt-out signal. Do not repurpose this workflow into a cold mass-mailing system.
